Overview

Under the general direction of the Office Manager, this role is responsible for providing clerical support and office maintenance tasks.   

 

Essential duties and responsibilities

  • Provide clerical support including, but not limited to, photocopying, sending and distributing faxes, sorting and distributing mail, operating binding machine, retrieving documents to be shredded, and operating postage machine including ordering postage and keeping log of postage usage.  As necessary, deliver outgoing mail to the post office and to express courier service locations, and provide local messenger services.
  • Act as key operator for general maintenance of copy room equipment including copier, fax, postage, binding and shredding machines.
  • Maintain log of incoming and outgoing faxes and submit log to accounting for proper billing.
  • Order and stock supplies for the office, kitchen, meeting rooms, and visitor locations.  Maintain copy/supply room stock and inventory stock to maintain adequate level of supplies.  Verify packing slips for receipt and delivery forwarding receipts to Office Manager.
  • Set-up furniture and conference room configuration.
  • Provide beverages for meeting rooms and arrange lunches upon arrival from caterers.
  • Coordinate with office management on firm entertainment (may take place after hours) and provide support in office rearrangements, set-up and clean-up.
  • Maintain kitchen areas including daily cleaning of all counters and emptying, loading, and running dishwasher when necessary.
  • Maintain office furniture and equipment, providing light repairs and movement of furniture.  Assist with office moves and transfers.
  • Replace printer toner cartridges.
  • Travel to outside vendors as necessary to obtain materials and supplies or complete projects.
  • Establish working relationships with outside vendors and service providers.
  • Other duties as required or assigned by supervision.

 

Key skills and Experience

  • Strong communication skills: the ability to express self effectively, both orally and in writing including excellent spelling, grammar, punctuation, form and style.
  • Interpersonal skills: the ability to establish effective working relationships with colleagues.
  • Ability to prioritize and multitask effectively.
  • Ability to work both as a team as well as independently.
  • Ability to push and pull packages weighing up to 30 pounds and ability to retrieve and replace objects from shelves of up to 8 feet high.
  • Must have flexibility for overtime before or after normal work hours.

 

Experience and Education Required

  • High school diploma required.
  • Prior office services experience preferred.
