What are we looking for?

We are looking for a bright, proactive and confident administrator to join our busy Learning and Development team.  Ideally you will be a graduate with at least one year of administration experience within an HR or L&D function, within a professional services organisation.  You will be PC literate and comfortable with Microsoft office applications. Experience of using a Learning Management System would be an advantage too.

Working alongside the L&D Assistant, the purpose of this role is to assist the L&D Manager with all aspects of implementing and maintaining the L&D programme for various audiences within the firm.

This is a great opportunity for an enthusiastic individual to gain varied, hands-on experience in a supportive and professional team.  Excellent attention to detail and organisational skills are essential, together with first class written and verbal communication skills.

Areas of focus and responsibilities

  • Administrating internally run courses
  • Assisting in ensuring smooth running of the courses on the day including meeting with trainers and acting as contact point for attendees
  • Arranging internal rooms and/or online meetings in which to hold courses
  • Ensuring all materials are prepared for attendees
  • Maintaining the attendance record for training sessions and requesting participant feedback
  • Creating and maintaining the global training schedule
  • Maintaining intranet pages with training information and links to register for courses
  • Building relationships with external suppliers and managing relationships
  • Sourcing and liaising with external venues for off-site training programmes where appropriate
  • Liaising with external training providers and other departments regarding course dates and materials
  • Liaising with other offices on any training related matters including making accommodation and travel arrangements where necessary
  • Processing invoices and ensuring appropriate payment is made out of the relevant budget.
  • Maintaining a record of invoice and credit card spend and processing credit card reconciliations.
  • Providing knowledge lawyers with monthly budget reports.
  • Maintaining an up-to-date e-filing system and ensuring all training records are kept up to date
  • Dealing with telephone and email requests and ad hoc enquiries where possible
  • Managing administration of all professional memberships and external training course bookings
  • Providing new joiners with relevant induction eLearning links and responding to any queries
  • Supporting the L&D team with general administration, including monitoring email inboxes, taking minutes at team meetings and general admin related to the Learning Management System.
  • Monitoring the HR team's email inbox one day a week. Liaising with HR generalists and HR rewards team to complete requests.
  • Liaising with language lesson agency to onboard new students for language lessons
  • Working with the L&D Manager to coordinate the Management Essentials programme for Business Services managers
  • Working with the Senior L&D Advisor to coordinate the Junior Associate Development Centre
  • Planning and coordinating the trainee induction for London and Hong Kong trainees, including training sessions and social events.
  • Coordinating all PSC courses for trainees and ensuring trainees achieve their training requirements for qualification
  • Planning the NQ induction schedule and coordinating sessions and social event.
  • Ad hoc project work

The Essentials

  • 9.30am to 5.30pm but flexibility is a must
  • 12 week probation period
  • 4 weeks’ notice period
