What are we looking for?

The global Library and Knowledge Services team comprises eleven people, who together are responsible for ensuring that everyone in the firm has the knowledge, information and resources they need in order to complete their work to the highest possible standards.

The Knowledge Assistant works closely with the Knowledge Advisor, Knowledge Lawyers (KLs) and other key contacts within the firm, providing invaluable support for the creation and maintenance of the firm’s precedents and internal knowledge documents.  The person recruited will also play a vital role in the annual process of updating three books of wills and trusts precedents that are written by Withers for external publication.

Areas of focus and responsibilities

Precedents

  • Assisting KLs and other departmental contacts with collation, creation and amendments to precedent and standard form Word documents with overall responsibility for ensuring that they conform to firm-wide standards and house style.
  • Maintaining departmental lists of precedents and ensuring that they are accurate and up to date.

Practical Trust Precedents (PTP), Practical Will Precedents (PWP) and International Trust Precedents (ITP)

  • Preparing documents for amendment by Withers authors and maintaining the master copies of documents.
  • Liaising with the external editors and internal authors regarding the publication updates and proof reading.
  • Updating the firm’s internal versions of the precedent documents and ensuring that all documents are available via the firm’s intranet and Knowledge Portal.

Other tasks

  • Creating and maintaining Library and Knowledge intranet pages ensuring that they are up to date.
  • Organising monthly UK Knowhow meeting, including organising agenda and taking notes at the meeting.
  • Supporting the KLs, Knowledge Advisor and the rest of the Library and Knowledge Services team with any other administrative or secretarial tasks, as required.

Technical experience required

Word

  • Produce, reformat into house style and manipulate complex documents to an advanced level
  • Create, edit and apply styles
  • Extensive knowledge working with tables
  • Experience of working with track changes
  • Repair corrupt documents including troubleshooting table of contents and numbering issues

Excel

  • Although not essential, the ability to confidently present and manipulate data in Excel will be an advantage

Notetaking

  • Experience with notetaking at meetings

Skills and attributes

  • Enjoy being a team player, with a flexible and can-do attitude and approach
  • A conscientious worker who is self-motivated and goal focused
  • Organised and accurate with a high level of attention to detail
  • Technically competent, but more importantly you will have the ability to use your initiative to adapt, and think laterally
  • Keen to take ownership of own work and to ensure efficient ways of working, both personally and within the team
  • Can manage and prioritise own workload effectively, with the ability to multi-task
  • Able to communicate effectively with members of the Library and Knowledge Services team and the KLs, as well as with legal, secretarial and support staff

The Essentials

  • 9.30am - 5.30pm but flexibility is a must
  • 12-week probation period
  • 4 weeks' notice period
  • Based in London office with some remote working
