The Assistant Managing Clerk will work within our Dispute Resolution practice, assisting attorneys with all electronic and hard copy filings The ideal candidate will support the attorneys in their dealings with the courts. They will assist with preparing, staging, and filing of documents in California and New York State Courts, as well as federal U.S. District Courts. At times, they may be required to conduct research on the procedural steps involved with filings of case-related documents in other state and/or federal jurisdictions. Also, the candidate may be asked to process Admission for attorneys in different jurisdictions. They should be familiar with general Admissions processes, as well as Pro Hac Vice Admissions for various jurisdictions. There is not an expectation the candidate will know the procedural steps for all jurisdictions, but the role requires a proactive approach and someone who can take the necessary lead to obtain the relevant information needed to complete attorneys’ requests. On occasion – in addition to the Assistant Managing Clerk’s main duties – the candidate may be required to assist with proofreading and legal and factual cite checking of briefs. The role requires frequent coordination with partners, associates, and other paralegals, as well as court personnel and other professionals. Great attention to detail, exceptional organizational and communication skills, and overall team collaboration to effectively prioritize and manage multiple filings/requests, are all core elements for this position.  The annual base compensation range for this role is $85,000 - $95,000.

Primary Responsibilities and Functions: 

  • Assist attorneys with all state and federal electronic and hardcopy filings in a timely and accurate manner
  • Assist paralegals and attorneys with service of all filed pleadings to all relevant parties, including mailing and hand delivery of courtesy copies to Court when required
  • Assist with procedural research assignments and other administrative projects
  • Establish and maintain database for attorneys’ electronic registration and filing credentials
  • Occasional travel to Court to file, retrieve, and deliver paper copies when required
  • Prepare briefs and other legal documents for filing, including proofreading, cite checking, compiling exhibits and appendices, formatting documents according to local rules, and filing documents
  • Review documents to be filed for form and procedural compliance to identify and remedy potential defects based upon the particular court’s requirements
  • Research and provide guidance to attorneys with regard to litigation applicable filing procedures (e.g., commencement of action, various motions, TROs, judgements, etc.)
  • Maintain case calendars and track deadlines; use firm operating systems to calendar relevant deadlines for attorneys and all relevant parties
  • Calculate rule-based litigation deadlines and provide weekly calendar reports for attorneys
  • Assist attorneys with court admission by obtaining Certificates of Good Standing
  • Review Judges’ Rules and Procedures; communicate and with Court Clerks and other court personnel as needed to coordinate complex filings which requires specific requirements
  • Periodically review case docketing to ensure all deadlines are accurately reflected for each case
  • As requested, conduct research for case dockets, filed pleadings and other case-related documents via federal and state platforms

Specific Skills Required:

  • Bachelor’s Degree required
  • Minimum 3-5 years of filing and docketing experience in a Managing Clerk’s office
  • Experience as a Litigation Paralegal a plus
  • Notary Public preferred but not required
  • Flexibility to work overtime when necessary 
  • Knowledge of the basic litigation docketing and calendaring process
  • Experience using eDockets and familiarity with other docketing software  
  • Substantial experience with completing PACER ECF filings for various federal jurisdictions; experience with completing electronic filings in all California and New York State Courts
  • Considerable experience with filing and lodging documents under seal in California State Court
  • Extensive experience with multiple filings and staging of documents and exhibits to prepare such filings for attorneys’ approval and electronic filing
  • Overall familiarity with California and New York commercial litigation practices, court rules and procedures 
  • Ability to navigate various electronic databases and document repositories
  • Demonstrate effective interpersonal skills and the ability to establish effective working relationships with colleagues
  • Ability to work well independently, as well as within a team environment
  • Excellent grammar, spelling, punctuation, form and style
  • Enthusiastic, proactive, and positive attitude
  • Excellent analytical, troubleshooting, organizational, and planning skills; strong attention to detail
